Chapter 8
Gmail & Google Workspace, step by step
Part A — turn on 2-Step Verification (one time)
- Open myaccount.google.com and sign in with the Gmail account you want to send from.
- Click Security (on the left, or the Security tab on mobile).
- Under How you sign in to Google, click 2-Step Verification → Turn on, and follow the prompts (phone number or Google prompt).
Part B — create the app password
- Go to myaccount.google.com/apppasswords (or search “App passwords” in the Google Account search bar).
- Type a name such as Ultra Email and click Create.
- Google shows a 16-character password in a yellow box. Copy it — Google will not show it again.
Part C — add the sender in Ultra Email
- Senders tab → New sender → SMTP server: Gmail (smtp.gmail.com) (already selected).
- Username: your full Gmail address. Password: paste the 16-character app password (spaces don’t matter).
- From email: the same Gmail address. From name: how you want to appear.
- Send Test Email → check your inbox → Save.
Gmail sending limits. Google limits personal Gmail accounts to roughly 500 recipients per day and Google Workspace accounts to about 2,000 per day. Set Sending Limit / hour in Settings well below that, add several senders and let Ultra Email rotate between them — or use a relay such as Amazon SES for larger lists.
Don’t see “App passwords”? It only appears when 2-Step Verification is on. On Google Workspace, your administrator may have disabled it (Admin console → Security → Less secure apps / app passwords); ask them, or use the domain’s own SMTP relay.

Google Workspace accounts use exactly the same steps and the same server (smtp.gmail.com, port 587). The From email can be any alias you have added in Gmail under Settings → Accounts → Send mail as.
